60H-10.002. Reports and Records

  • 1(1) Agencies shall provide an inventory data of all facilities owned, leased, rented or otherwise occupied or maintained. The inventory data shall be provided by the owning or operating agency annually by June 1, unless this date falls on a weekend or holiday, at which time information should be provided on the first Monday following June 1.

    58(2) For State-owned facilities, Agencies shall input into the Florida State Owned Lands and Records Information System (FL-SOLARIS) the following facility information, as defined in Rule 8460H-10.003, 85F.A.C.:

    86(a) Location;

    88(b) Occupying agency;

    91(c) Ownership;

    93(d) Size;

    95(e) Condition assessment;

    98(f) Valuations;

    100(g) Operating costs;

    103(h) Maintenance record;

    106(i) Age;

    108(j) Parking and employee facilities;

    113(k) Building uses;

    116(l) Full-time equivalent occupancy;

    120(m) Known restrictions or historic designations;

    126(n) Leases or subleases;

    130(o) Associated revenues; and

    134(p) Any other information required by law.

    141In addition to these data elements, the Division reserves the right to request additional specific information relating to operating costs.

    161(3) Agencies shall add new State-owned facilities to the reporting system within 30 days from the date the facility is acquired. Agencies shall delete State-owned facilities from the system within 30 days of the date of facility disposal, and making input changes and corrections to the system as required.

    210(4) For State-occupied facilities, Agencies shall provide the following facility information to the Division, as defined in Rule 22860H-10.003, 229F.A.C.:

    230(a) Location;

    232(b) Occupying agency;

    235(c) Size;

    237(d) Parking and employee facilities;

    242(e) Full-time equivalent occupancy;

    246(f) Leases or subleases; and

    251(g) Any other information required by law.

    258This information shall be provided by the Agencies in an excel spreadsheet or other means approved by the Division that address agency needs and the reporting needs of the system. Agencies are responsible for the accuracy and timeliness of the data provided.

    300(5) Agencies shall be responsible for notifying the Division of new leases for input into the inventory within 30 days from the date the lease is executed. Agencies shall be responsible for notifying the Division within 30 days of lease termination for removal from the inventory.
